CHAPTER
LEADERSHIP
CHAPTER PRESIDENT
(Mandatory Position)
CHARGE OR OBJECTIVES:
To direct the activities of the chapter.
METHOD OF ELECTION:
Election in November at the Chapter meeting of choice by the Chapter
ELIGIBILITY:
Must have completed two years on the chapter Board.
Must be a primary member in good standing.
TERM OF OFFICE:
One (1) or two (2) years beginning in January. May only hold a CPC Board Position
in addition to this Presidency. No other elected position in NACE may be held.
RESPONSIBLITIES:
A.) Report to the NACE National Board of Directors on a monthly basis via email.
This report will be viewed by at least the RVP & Headquarters. You will be
contacted if needed.
B.) Debates held if no report given.
C.) Oversee the direction, financial stability, image and unity of the local chapter.
D.) Network and maintain public relations efforts relating to special events, industryaffiliated
organizations and the needs of the local membership. Serve as official
spokesperson to all media contact.
E.) Chair Chapter Board of Directors' meeting.
F.) Act as chair of monthly meetings to include updating membership on recently
developed chapter news; is also responsible for introductions of speakers, etc.
G.) Attend all Chapter Presidents Council meetings held during the Educational and
Leadership conferences to represent the local chapter, and submit a written
chapter report. National Communication Board of Directors reports and CPC
reports from each conference CPC meeting to Chapter Membership.
H.) Serve as liaison between the local chapter and The Regional Vice President for
NACE national.
I.) Sign off on all Contracts on behalf of the chapter.
J.) Serve as official representative of the chapter to allied organizations, unless a
representative is appointed. You may use staff or RVP as reserve.
K.) Serve as ex-officio member with right to vote on all committees except the
nominating committee. You are
L.) Appoint committee chairs, if a vacancy occurs, with approval of the board. May
start up a committee and appoint a chair.
M.)Prepare the Chapter of the Year application, and other award submissions in
conjunction with the Chapter Board if desired
N.) Supplies Board roster adjustments as required. Communicates and submits
reports as directed by National. Communicates with Regional Vice Presidents and
honestly appraises the Regional Vice President of the chapter activities.)
O.) Receives member changes once a month to update mailing lists and roster.
Committee with Headquarters monthly.
P.) Provide financial statements to National Headquarters and regional vice president
upon request.
Q.) Represent NACE in a professional and ethical manner as prescribed by the Code
of Ethics.
CHAPTER FIRST VICE PRESIDENT (Mandatory Position)
CHARGE OR OBJECTIVES:
Serves on the Chapter Board of Directors. Second in command after the president, serves
in the absence of the president or fills the vacancy created by the president.
METHOD OF ELECTION:
Election in November at annual membership meeting to begin term in January
ELIGIBILITY:
Must have completed two years on the Chapter Board.
Must be a primary member in good standing.
TERM OF OFFICE:
One (1) or two (2) years, may only hold one office at a time. May hold CPC position if
they were previously a Chapter President.
RESPONSIBLITIES:
A) Attend all NACE Chapter Board meetings.
B) Serve in the absence of the President at the Chapter Board meetings.
C) Fill any vacancy created by the president.
D) Submit a written report of activities to the Chapter President to be presented at the
Chapter Presidents Council meeting held during the Educational Conference and the
Leadership conference.
E) Serve as chair for the conference committee; to coordinate those attending the
Educational Conference, and to get others involved in attending the conference.
F) Serve as liaison to membership and hospitality committees.
G) Represent NACE in a professional and ethical manner as prescribed by the Code of
Ethics.
CHAPTER SECOND VICE PRESIDENT
CHARGE OR OBJECTIVES:
Serves on the Chapter Board of Directors.
METHOD OF ELECTION:
Optional position for chapters. Election in November at annual membership meeting to
begin term in January
ELIGIBILITY:
Must be a primary member in good standing.
TERM OF OFFICE:
One (1) or two (2) years, may only hold one office at a time.
RESPONSIBLITIES:
A.) Attend all Board of Directors meetings.
B.) Attend meetings of the Chapter Presidents Council, when necessary.
C.) Serve in the absence of the president and first vice president.
D.) Submit a written report of activities for the Board of Directors meetings.
E.) Carry out the duties of this position as decided by the president with the advice and
consent of the Board of Directors.
F.) Represent NACE in a professional and ethical manner as prescribed by the Code of
Ethics.
CHAPTER TREASURER
(Mandatory Position)
CHARGE OR OBJECTIVES:
Responsible for overseeing the financial records of the chapter.
Responsible for the financial stability of the chapter and the supervision of complete and
accurate financial records.
METHOD OF ELECTION:
Election in November at annual membership meeting to begin term in January
ELIGIBILITY:
Must be member in good standing.
TERM OF OFFICE:
One (1) or two (2) years, may only hold one office at a time. May hold CPC position if
previously a Chapter President.
RESPONSIBLITIES:
A) Report to the president
B) Attend all Chapter Board meetings.
C) Maintain overall financial stability of local chapter of NACE to include establishment
of annual budget with the president, and analysis of ad-hoc projects for cost
effectiveness and profitability.
D) Monitor budget and subsequent expense approvals by the Executive Board. Act as
one of two officer signatures on the checking account. Two signatures are a must.
E) Work closely with membership chairman to ensure follow-up on delinquent account
and to audit activities of National office.
F) Research and collect returned checks and unpaid invoices.
G) Collect monies for monthly dinner meetings and call in guarantees to hosting
properties.
H) Submit written report of activities to the chapter president to be presented at the
Chapter Presidents Council meetings held during the educational and leadership
conferences.
I) Maintain files for bank statements, canceled checks, invoice paid by the chapter, etc. I
think this should be spelled out
CHAPTER SECRETARY
(Mandatory)
CHARGE OR OBJECTIVES:
Responsible for all written records of the Chapter
METHOD OF ELECTION:
Election in November at annual membership meeting to begin term in January
ELIGIBILITY:
Must be a member in good standing.
TERM OF OFFICE:
One (1) or two (2) years, may only hold one office at a time.
RESPONSIBILITIES:
A) Taking minutes at all NACE Board of Directors meetings and additional meetings as
well.
B) Maintaining scrapbook and related archives to include monthly invitations, press
releases, media coverage, awards, etc.
C) Maintaining an open channel of communication with national and regional officer, to
include mailing minutes and newsletters.
D) Contacting the program chair and/or event chair after events to ensure the mailing of
thank you cards and related post-event correspondence. Thank you notes are to be
sent under the name of the president within one week of the event.
E) Responsible for chapter scrapbook.
F) Prepare and submit Chapter of the Year application, and other award applications, in
conjunction with the chapter president.
CHAPTER AFFILIATE REPRESENTATIVE
(Mandatory)
CHARGE OR OBJECTIVES:
The Chapter Affiliate Representative is elected to serve on the Chapter Board as a
representative for the affiliate and corporate members.
METHOD OF ELECTION:
Election at November meeting.
ELIGIBILITY:
Must be an affiliate or corporate member in good standing.
TERM OF OFFICE:
One (1) or two (2) years, may only hold one office at a time.
RESPONSIBLITIES:
A) Attend all Chapter Board meetings.
B) Keep in close contact with Affiliate Members of the chapter.
C) Provide articles for chapter letter.
D) Contact and welcome new corporate members.
E) Help solicit advertising revenue for the chapter's newsletter.
F) Help in contact with corporate member contact and encourage them to renew their
membership.
G) Represent NACE in a professional and ethical manner as prescribed in the Code of
Ethics.
H) Organizing, implementing and executing Affiliate spotlights at chapter meetings and possibly
an annual Affiliate Showcase.
Chapter Committee Leadership Positions
The chapter committee structure should mirror those of the national
committees, whereby the committees and general duties are defined
by the board of directors. Chapter committee chairs will be appointed
from among members in good standing by the chapter president, and
one member of the chapter board should be identified as each
committee's liaison. The responsibilities for each of these positions is
at the discretion of the chapter bylaws.
