Massachusetts Eye and Ear

POSITION SUMMARY:
- Responsible for the successful planning and execution of events to engage individuals' interest, awareness, and support of, the Massachusetts Eye and Ear.
- Must be capable of simultaneously managing and prioritizing multiple projects while maintaining priorities, focus and attention-to-detail.
ESSENTIAL FUNCTIONS:
Special Events:
- Working under the direction of the Director of Communications and Strategic Events, plans and executes all aspects of Florida friend-raisers, employee engagement events, Founders’ Day Luncheon, the Golf Classic, Trustee Meetings, the Sense-ation! Gala, President’s Lecture Series, donor appreciation and engagement events and other events as assigned. This includes, but not limited to: event conceptualization, invitee and attendee communication, collateral distribution, RSVP tracking, venue/catering/vendor coordination, gifts, website, volunteer recruitment, training and management, entertainment, etc. within a budget constraint.
- Assists in managing the successful execution of the program for Team Eye and Ear, Mass. Eye and Ear’s marathon team, and other events as they arise. This includes, but is not limited to: marketing, recruiting, securing fundraising incentives and premiums, maintaining databases, team communications, planning and executing team events, tracking fundraising, etc.
- Manages records and documents involved with events. Prepares and tracks event timelines and budgets, processes all invoices and purchase orders and is accountable for keeping expenses within the event budget.
Supervisory Duties:
- Develop and coordinate internship program for Events Office. Recruit, supervise and mentor intern throughout commitment.
Other:
- Performs all typing, filing, copying and other activities in support of these functions.
- Other duties as agreed upon with management
- Complies with all State, Federal, Local regulations and laws governing the performance of the position within this department.
- Adheres to all the Hospital's policies and procedures, attends annual in-service education, and respects the confidentiality of patient and employee information.

General Manger

Position Summary: Reporting to the Director for Crimson Catering, the General Manager provides oversight to a full service Catering and Special Events operation. This person has primary responsibility for all operational aspects of a quality catering operation, and for providing maximum customer satisfaction to the Harvard community and guests, in accordance with HUDS standards. The General Manager is responsible for supporting the unit's overall operating procedures including food and labor costs, inventory control, record keeping, menu development, event design, food quality and presentation, forecasting and budgeting.
Duties and Responsibilities:
• Supervises staff consisting of managers and hourly employees.
• Prepares and assumes fiduciary responsibility for fiscal year budget.
• Sells, plans and executes events ranging in size and complexity from single-day functions to large-scale University social gatherings.
• Develops business relationships with new and existing clients.
• Assists clients in solidifying event details including menu, theme, room setup, and timing.
• Coordinates and communicates with vendors.
• Oversees all function activities, meeting weekly with the sales office, event management office and culinary team regarding details of upcoming events including event logistics, food presentation, and timelines.
• Works in conjunction with the Catering Events managers, performing hands-on management and execution of all styles of events on and off campus, as needed.

• Reviews, creates and implements Sales and Event office procedures.
• Represents Harvard University Dining Services (HUDS) to clients, students, Faculty Deans, faculty, staff, guests and the community; and responds to their needs in a positive and professional manner.
• Responsible for maintaining sanitation standards in compliance with city and state laws, Harvard University Environmental Health and Safety regulations, departmental and HACCP policies.
• Complies with State of Massachusetts and HUDS' "Food Employment Illness Policy".
• Provides appropriate progressive discipline.
• Observes religious, physical, and preferential dietary restrictions as required.
• Assures compliance with bargaining unit agreement.

- Proven leadership and interpersonal skills, with a concentration on efficiencies, while maintaining a safe, diverse, and enthusiastic work place.

- Familiarity with Microsoft Office.
- Active member of at least one industry association (NACE, ISES, MPI, etc) preferred.
- History of attendance at industry related conferences preferred.

· Act as liaison between restaurants, home office, Briar Events, and vendors

· Be a presence at events for successful execution, and also to meet staff and gain ideas and feedback for future events
· Recap all events with a focus on ROI and report to Marketing and Executive teams
· Create EventBrite pages as needed and ensure digital postings are complete
Promotions
· Schedule beer, liquor and wine promotions at all locations
· Develop new promotions based on current needs/events and find appropriate vendor(s)
· Build strong relations with vendors
· Coordinate and communicate dates, times, and logistics with all necessary parties
· Attend several promotions each month
· Increase attendance and awareness of promotions
· Collect feedback from managers and vendors
· Assist marketing team with other holidays and smaller promotions

· Nightlife photos and feedback: take pictures & make observations of nightlife

We have 5 private events spaces that offer our guests the best panoramic views in the city of Boston. Our Club currently has 1,700+ members. We are open 6 days per week and occasionally on Sundays.

As a member of the Finance and Administration team for the Center on the Developing Child, this individual will provide administrative and logistical support for a variety of Center meetings and events, as well as project coordination support as needed.
Job Description:
Meetings and Events: Will provide assistance as directed, for large scale complex events, under the leadership of the Events Manager, including a large convening and a 6 day executive leadership program with high level international participants. Supports in-house meetings ordering food and setting up as required. Provides support for the Center’s Leadership Programs and Initiatives; reserves space/rooms, orders food, ensures proper room set-up, and that any other meeting/event needs are met (audio/visual, supplies, etc). Provides support as needed with online meeting platforms such as WEBEX.
Project Team Support: This position will also support project teams as directed, assisting with scheduling internal meetings, coordinating conference calls and performing complex scheduling with external partners. Prepares detailed and accurate meeting materials, under the direction of project staff. Provides support in the day to day management of the Center’s database on the Salesforce platform.
